I was at a birthday party recently, and somehow I became the person holding the matches. Five candles on the cake, the lights about to go down, everyone waiting for the singing to start.

I struck one and started working my way along the cake. The first candle was easy. The second and third were fine. By the fourth, the flame had burned down close to my fingers and I was suddenly rushing, tilting the match to reach the last wick before the heat reached my thumb. I got there, just. For a few seconds it had stopped being about the cake and turned into a small race against a flame that was disappearing in my hand.

I have been thinking about that match all week, because it reminded me of how a lot of good work begins. A burst of energy. A clean start. A new notebook, a fresh plan, a determined Monday morning. For a moment, everything feels possible because the match has lit.

The problem is what happens next. Most of us are better at finding the spark than building somewhere for it to land. We wait for motivation, and when it appears we try to cram as much as possible into the small window before it burns down. That can work for a task. It rarely works for anything that needs to keep moving after the feeling has gone.

Projects do not move because someone felt inspired on Monday. They keep moving because the work has somewhere to land on the ordinary days that follow, even when nobody feels especially fired up. A project without a system is just a match in the air. Bright, warm, impressive for a moment, and then gone before anything meaningful has caught.

I have fallen into this plenty of times myself. I have started weeks with all the right energy, convinced that this time I would stay on top of everything because I felt ready. I would clear the inbox, update the plan, chase the decision, tidy the risk log, and message the people I had been meaning to message.

Then the week did what weeks do. Someone cancelled a meeting. A decision slipped. A small issue took half a day. By Thursday, the original feeling had disappeared and I was relying on memory, guilt, and a slightly heroic version of myself that only seems to exist when I am planning the week, never when I am actually living it.

That is when you find out whether you built a candle or just enjoyed the match.

BJ Fogg's behaviour model is useful here. He says behaviour happens when motivation, ability, and a prompt come together at the same time: behaviormodel.org. I like it because it explains something we all recognise. Motivation matters, but it is only one part of the conditions that make action happen.

The part I keep coming back to is ability. When something feels hard, vague, buried, or dependent on too many small decisions, motivation has to work too hard. The flame has to do everything. It has to create the heat, find the direction, hold the attention, and overcome the friction. No wonder it burns out.

A system lowers the demand on the match. That might sound bigger than it is, but I do not mean a huge framework, a colour-coded life overhaul, or another tool to maintain. Often the system is boringly small: a recurring Friday slot to close loose decisions, a simple prompt after every meeting, or a working list that starts with the next visible action rather than the whole mountain.

Small systems give motivation somewhere useful to go. In project work, this is the difference between chasing energy and designing conditions. The best people I have worked with still have low-energy days. They still procrastinate, still get tired, still have weeks where the spark refuses to show up. The difference is that their important work is not completely dependent on the spark arriving in perfect weather.

They have prompts in the right places. They make the next action visible before they need it. They remove small bits of friction while they still have energy, so the future version of them does not have to fight through a locked door just to begin.

I think that is one of the quiet marks of maturity at work. You stop treating motivation as a character test. You stop assuming that if you cared enough, you would feel ready all the time. Instead, you give the flame somewhere to live, make the work easier to return to, and leave yourself handles, cues, reminders, and small openings that make progress possible even when the mood is flat.

That matters because motivation can be oddly unreliable. Sometimes it appears after you begin, not before. Sometimes the match does not light until the candle is already waiting. I have had plenty of days where I felt nothing at the start, then found momentum ten minutes into the task because the first step was obvious enough to take.

The system did not make me inspired. It made beginning less dramatic.

There is relief in that. It means the answer is not to become a permanently motivated person. I have never met one, and I would be suspicious if I did. The better aim is to build work that does not require your most energetic self to show up every day.

That is especially true if you are responsible for other people. A team cannot run on one person's bursts of intensity. They need rhythm, visibility, ownership, and prompts that survive a busy week. They need a candle, not a drawer full of hopeful matches.

The match still matters. Motivation is useful. There are moments when a burst of energy helps you start the awkward conversation, write the first page, make the call, or clean up the mess you have been avoiding. I am grateful for those moments when they come.

But I trust the system more, because the system is what remains when the match will not light.

MAKING IT HAPPEN: Your Weekly Strategy

This week, do a matchstick audit. Pick one thing you are relying on motivation to get done. A report, a decision, a workout, a difficult conversation, a piece of planning, anything that keeps waiting for the right mood.

Ask yourself one question: what would make this possible even on a low-energy day? Then make one small change. Remove one bit of friction, set one prompt, put the next action somewhere visible, book the slot, draft the first sentence, or create the candle before you need the flame.

The match will light when it lights. The system is what keeps the flame going.
